WMES PTA VOLUNTEER DESCRIPTIONS

PTA BOARD

*PRESIDENT

What is it:  Oversee PTA Board.  Work with Principal and school’s Financial Officer to determine budgeted donation to school.  Coordinate calendar of events.  Oversee communication.

Time of Year:  All year (beginning in August)

Time Commitment:  All year (beginning in August)

Location:  At school and at home opportunities

Volunteers Needed: 1

 

*MEMBERSHIP VICE-PRESIDENT

What is it:  Create Membership form; track dues; maintain list of all PTA members; assist with distribution of student directories (WAM Book).

Time of Year:  All year (beginning in August)

Time Commitment:  All year (beginning in August); busiest in August, September, and October

Location:  At school and at home opportunities

Volunteers Needed: 1-2

 

*VOLUNTEER VICE-PRESIDENT

What is it:  Oversee all event coordinators.  Ensure events/programs have enough volunteers (via Open House & B2SN recruitment, E-News/Facebook ads throughout year). Communicate potential volunteers.

Time of Year:  All year (beginning in August)

Time Commitment:  All year (beginning in August)

Volunteers Needed: 1-2

 

*ENRICHMENT VICE-PRESIDENT

What is it:  Oversee all before and after school enrichment classes.  Work with Enrichment Matters to select classes and create schedule.  Work with county when necessary.

Time of Year:  All year (beginning in August)

Time Commitment:  All year (beginning in August)

*FUNDRAISING VICE-PRESIDENT

What is it:  Oversee event coordinators for all types of fundraising:  Dining for $, 5K, Spirit Wear, etc.

Time of Year:  All year (beginning in August)

Time Commitment:  All year (beginning in August)

Volunteers Needed: 1-2

 

*TREASURER

What is it:  Maintain budget; write checks; audit prep, provide documents for CPA to prepare tax return.

Time of Year:  All year

Time Commitment:  Checks are written throughout the year; budget preparation happens in late August/early September; monthly budget updates needed for Board and PTA meetings

*FINANCIAL ASSISTANT

What is it:  Handle all bank deposits; communicate with Treasurer.

Time of Year:  All year

Time Commitment:  Must visit school weekly (or more) to pick up deposits & deliver to bank

*SECRETARY

What is it:  Take minutes during all Board and General PTA meetings.

Time of Year:  School year

Time Commitment:  2x month throughout school year

*E-NEWS EDITOR AND WEBMASTER

What is it:  Write and edit weekly E-News newsletter; update website with new articles and information; update website calendar.

Time of Year:  All year (beginning in August)

Time Commitment:  2 -3 hours each week for editing

*ROOM PARENT LIAISON

What is it:  Communicate with all room parents; share messages that room parents should forward to their classes; help with Teacher Appreciation Week; share template letters to be used for group gift collections at the holidays and end of the year.

Time of Year:  All year (beginning in August)

Time Commitment:  varies; usually less than 1 hour total a month

PTA EVENTS/PROGRAMS

 

ASSEMBLIES / CULTURAL ARTS

What is it:  Plan and coordinate 2 – 3 student assemblies for the year.

Time of Year:  Throughout the year

Time Commitment:  Varies

Location:  Both at school and at home

Volunteers Needed: 1-2

 

BACK-TO-SCHOOL NIGHT DINNER

What is it:   Coordinating Dinner for Teachers before BTS Night

Time of Year:  September

Time Commitment:  2 people for set-up ~ 3:30 – 4:30pm & 2 people for clean-up ~ 4:30 -5:30pm

Location:  At School

Volunteers Needed: 4-5

 

BINGO NIGHTS

What they are:    Coordinate evening Bingo events for school families

Time of Year:  Fall and/or Spring

Time Commitment:  Some time before the event to help organize; during event, set-up, clean-up

Location:  Both at school and at home opportunities

Volunteers Needed: 4 per event

 

BOOK FAIR

What is it:  Coordinate Fall & Spring Book Fairs at WMES to raise funds for the Library

Time of Year:  Fall and Spring

Time Commitment:  Prior to event, several hours needed for planning and coordination. During event, volunteers needed for 2-hour shifts throughout the week, during school hours and for one evening, with additional help needed for set-up prior to event & and clean-up, backorders, etc. after event.

Location:  Both at home & at school

Volunteers Needed: 30

 

BOOK ROOM

What is it:   Assist reading teachers with re-shelving and organizing books and reading materials that teachers use for guided reading and classroom instruction. 

Time of Year:  Throughout the school year

Time Commitment:  Once a week, 1 – 2 hours (very flexible)

Location:  Book Room (WMES, lower level)

Volunteers Needed:   1-2

 

BOX TOPS

What is it:  Collect Box Tops; advertise competitions between classes; submit Box Tops to company twice a year for payment.

Time of Year:  All year (beginning in August)

Time Commitment:  an hour a week for counting Box Tops

Location:  At school and at home opportunities

Volunteers Needed: 1

 

BUS DRIVER APPRECIATION

What is it:    Coordinating Breakfast bags (Monday) & Snack bags (Friday) during Bus Driver Appreciation week and handing out to the bus drivers on those two days.

Time of Year:  October  

Time Commitment:  1 -2 hours

CAUSE NETWORK

What is it:  Advertise for families to make online purchases through Cause Network; WMES gets a percentage of purchases; monitor quarterly checks received.

Time of Year:  All year (beginning in August)

Time Commitment:  less than 1 hour per month

Volunteers Needed: 1

 

CLINIC AIDES

What is it:   help in the school clinic; make ice packs; training provided

Time of Year:  All year

Time Commitment:  weekly shifts

Location:  At School

Volunteers Needed: 4-5

 

DINING FOR DOLLAR$

What is it:   Coordinate with local restaurants willing to give WMES a portion of their proceeds

Time of Year:  Throughout the school year

Time Commitment:  Sporadic throughout the school year

END-OF-YEAR PICNIC

What is it:  Organize EOY picnic, to include: contracting with inflatables company, advertising event, coordinating with food vendor.

Time of Year:  June

Time Commitment:  minimal time spent prior to event; oversee event, including set-up & clean up

Volunteers Needed: 4

 

FLY LIKE AN EAGLE 5K

What is it:  WMES hosts a 5k walk/run each spring. Volunteers needed to plan and coordinate all aspects of the event (including sponsorship, race course, logistics, race day festivities, and more).

Time of Year:  Spring

Time Commitment:  Varies

Location:  Both at school and at home

Volunteers Needed:  ~15

 

GRACE ART

What is it:  Liaise with Greater Reston Arts Center’s in-school program, teaching students about famous artists & art history.  No art experience needed. Lessons taught in class by parent volunteers, who teach children briefly about the artist, and oversee the students while they create an art project.             

Time of Year:  ~ 4 times/yr  (October, December, February and April)

Time Commitment:  1 hour

Location:  At school in the classroom

Volunteers Needed:  2-3 Coordinators, Plus 2-3 reps per classroom (K-5th grades)

 

GROCERY REWARDS

What is it:  Register WMES with Giant, Harris Teeter, and Target; advertise how families can link their rewards cards to WMES (WMES will receive percentage of purchases)

Time of Year:  August, September, October

Time Commitment:  very little; concentrated at beginning of year

Location:  At school and at home opportunities

Volunteers Needed: 1

 

ICE CREAM SOCIAL

What is it:    Organize annual pre-Halloween family event (includes ice cream, music/dancing, games, costume contest and more.)

Time of Year:  late October

Time Commitment:  Sporadically during the weeks before and at event

Location:  Both at home and at school opportunities

Volunteers Needed: 5

 

LIBRARY AIDES

What is it:    Assist librarian by checking-in & shelving books, help students find books, and more. Training provided / no experience necessary.

Time of Year:  Throughout the school year

Time Commitment:  A bi-weekly schedule is arranged for 1.5 hour visits

Location:  Library

Volunteers Needed: 25

 

LOBBY ESCORTS / LATE NOTES

What is it:   Escort tardy children to class in the mornings and manage late notes, as needed.

Time of Year:  Throughout the school year

Time Commitment:  Daily 9:30 – 10:00am, on a rotational basis depending on number of volunteers.

Volunteers Needed:  10 - 20

 

MOVIE NIGHT

What is it:  Plan and coordinate an evening Movie Night at WMES for school families.

Time of Year:  Spring

Time Commitment:  Volunteer selects movie and arranges for license.  Time spent ahead of event procuring concessions to sell.  Set-up, ticket-taking, overseeing event, clean-up

Location:  Both at school and at home

Volunteers Needed: 2-3

 

ODYSSEY OF THE MIND

What is it:  Organize & manage student teams for annual creative problem-solving competition                    

Time of Year:  Throughout the school year

Time Commitment:  2 hours per week, supporting/hosting team sessions

Location:  At school or another location determined by host

Volunteers Needed: 5

 

OPEN HOUSE TEACHERS’ LUNCHEON

What is it:   Coordinating lunch for Teachers immediately following Open House

Time of Year:  August

Time Commitment:  6 people for set-up ~ 9:30 – 11am & 4 people for clean-up ~ 12 -1pm

Location:  At School

Volunteers Needed: 6

 

REFLECTIONS

What is it:    Coordinate judging & awarding of students who submit entries in the National PTA Reflections contest.  Entries can be in one of six categories – dance, film, literature, music, photography or visual arts.  Entries are judged by both category and grade level.  Winning entries from a school advance to compete at the county and then state level.

Time of Year:  May - November

Time Commitment:  Several hours per month, fall & spring.

Location:  Both at school and outside of school opportunities

SCHOOL PICTURE DAY AIDES

What is it:    Help on student school picture day by keeping the schedule on-time, retrieving students from their classroom, and managing students while they wait their turn. 

Time of Year:  Fall & Spring

Time Commitment:  Scheduled in shifts throughout the day

Location:  At School

Volunteers Needed: 6 each day

 

SCHOOL TOOL BOX

What is it:  Work with teachers in April to establish supply lists for the following school year; contract with School Tool Box to make school supplies available for online ordering June - October

Time of Year:  April, August-September

Time Commitment:  few hours to coordinate supply lists and upload to School Tool Box system

Location:  At school and at home opportunities

Volunteers Needed: 1

 

SIXTH GRADE BASKTBALL GAME

What is it:  Annual 6th grade basketball game held against another local elementary school. Students and Teachers participate.

Time of Year:  Late Spring

Time Commitment:  Prep time (advertisement, securing school/dates/vendors/coaches, etc.) & Event (oversee check-in, vendors, cleanup, etc)

Location:  At home and at-event opportunities

Volunteers Needed: 3-4

 

SKATE NIGHT

What is it:  Organize two evening Skate Night events at SkateQuest in Reston.

Time of Year:  November/April

Time Commitment:  Prep time (advertisement & securing contract/dates) & Event (oversee check-in)

Location:  At school and at home opportunities

Volunteers Needed: 1-2

 

SOL RUNNERS

What is it:    Volunteers are needed during all SOL testing to escort students to the restroom, water fountain, etc.

Time of Year:  May-June

Time Commitment:  2-hour shifts

Location:  At school

Volunteers Needed: 30

 

SPELLING BEE

What is it:  Assist with annual PTA sponsored school-wide spelling bee.  Two WMES finalists will continue on to county competition.

Time of Year:  February/March

Time Commitment:  Sporadic leading up to bees and half-day helping out at the spelling bee

Volunteers Needed: 1-2

 

SPIRIT WEAR

What is it:    Helping with design and ordering of new spirit wear; distribution of ordered Spirit Wear

Time of Year:  Fall

Time Commitment:  Time spent on design and organizing orders

STAMP

What is it:   Science * Technology * Art * Music * Philanthropy; community service events, STAMP Inspirational Museum

Time of Year:  All year

TEACHER APPRECIATION LUNCH

What is it:    Organize Teacher Appreciation Lunch for teachers during Teacher Appreciation Week.

Time of Year:  May

Time Commitment:  Sporadically during the month before and the week of Teacher Appreciation.

Volunteers Needed: 6

 

VALENTINE SWEET SHOPPE

What is it:    A dessert celebration for all staff members.  Parents donate desserts, fruit, gift cards, healthy snacks.  Help needed with set-up/clean-up.

Time of Year:  February

Time Commitment:  Initial set up of Sign Up Genius for donations and for volunteers.  Day of event: oversee collection of donations, set-up, clean-up.

VISION AND HEARING SCREENING

What is it:   Assist clinic staff with screenings for Kindergarten, 3rd grade, and new-to-county students.

WAM BOOK

What is it:  Student Directory

Time of Year:  Summer and early Fall

Time Commitment:  A few concentrated hours of editing and layout

WELCOME MENTOR

What is it:  New families will receive their mentor’s contact information when they register at WMES; they will contact mentors with questions regarding WMES and the community in general.

Time of Year:  All year

Time Commitment:  Less than 1 hour a week

WMES SIGN

What is it:  Update sign in front of school as needed.

Time of Year:  All year (beginning in August)

Time Commitment:  Less than 1 hour a week

YEARBOOK

What is it:  Help produce yearbook, including photographing events, designing templates and layouts, managing orders, distributing final yearbooks, etc.

Time of Year:  Throughout the year

Time Commitment:  Varies, depending on role(s)

Location:  Both at school and at home opportunities

Volunteers Needed: 10-15 *

*Class photographers create their class’ collage yearbook page. Ideally, we are looking for 1-2 volunteers for each grade level to design & create the class portrait pages for each grade.  This is largely an at-home volunteer opportunity (utilizing lifetouch.com’s online software).  We also have need for event photographers.
